Program and Services Manager

Hours/Week: 40

The Program and Services Manager is responsible for emergency food assistance to include appointments, referrals, interviews, and volunteer management. The individual in this role is also responsible for Manna’s fourteen specialty programs to include communication with program facilitators and collecting and compiling data. The Program and Services Manager is also responsible for compiling monthly reports, donor data entry, and office support as needed. 

Job Description and Qualifications

Key Duties: Emergency Food Assistance

  • Strengthen existing partnerships, and identify and develop new partnerships that are consistent with Manna’s mission and goals
  • Coordinate, track, and service referral clients from other agencies
  • Coordinate with IT personnel for changes/updates to the Customer Relationship Management (CRM) database
  • Manage up to 16 volunteers a week in conducting emergency food assistance interviews and food service
  • Conduct volunteer training for client services with the support of the Office and Volunteer Coordinator
  • Orient volunteers before every shift to answer questions regarding emergency food assistance appointments
  • Serve as a positive liaison and first point of contact between the organization and all client service volunteers
  • Assist in answering the telephone to support volunteers in scheduling food assistance appointments as needed
  • Prepare monthly reports of all emergency food assistance data for the Executive Director

Key Duties: Programs

  • Develop relationships and strengthen existing partnerships with community leaders and volunteers from various organizations, government agencies, military bases, businesses, faith-based organizations, schools and more
  • Coordinate, track, manage, and analyze data received from Manna’s specialty programs
  • Create, administer, and evaluate food security surveys
  • Manage distribution schedules and client counts for Manna’s specialty programs
  • Evaluate client program eligibility
  • Manage CRM tool, including reports for program data
  • Maintain good communication with warehouse staff regarding programs and their delivery and pick-up schedules, and their replenishment needs
  • Prepare monthly reports of all program data for the Executive Director

Key Duties: Reporting

  • Create and generate reports from donor and client software systems as needed by staff, including assisting Office and Volunteer Coordinator with weekly/monthly reports
  • Monthly Roll-Up Report - Query all information from CRM Databases and input all information, including client statistics for all pantries and programs
  • Monthly Service Report - Query all information from CRM Databases and input all information, including client statistics for all pantries and programs, donations, pounds in, pounds out, and volunteer statistics
  • Yearly Report – Add all information from the Monthly Service Report into the Yearly Report  
  • Reports as directed (e.g., updates on natural disaster assistance, or special reports for grants)

Other duties as assigned to support the team and the overall success of the organization.

Required Skills

  • Must have excellent written, verbal, and interpersonal communication skills, as well as excellent presentation skills
  • Able to work and interact well with individuals from a variety of socioeconomic backgrounds in a culturally diverse environment; able to work with a diversified community, to work cooperatively and with flexibility
  • Able to take initiative, coordinate with others, and follow through in a timely fashion 
  • Must have the ability to work on multiple projects with minimal supervision and manage one's own time effectively to meet deadlines and successfully execute projects and events
  • Strong computer and web proficiency, including Microsoft Office Suite (Outlook, Word, Excel, etc.)
  • Knowledge of CRM software, such as Donor Pro, highly preferred
  • Able to process data with a high level of accuracy
  • Must be a highly energetic, enthusiastic, flexible professional with a strong work ethic; must be highly organized, dependable, creative, self-motivated, results- and detail-oriented, and pro-active
  • Must possess the intellectual depth, maturity, wisdom, and collaborative skills to garner the trust and confidence of donors, volunteers, staff, and other constituents
  • Must have strong analytical thinking, diplomatic problem solving and reasoning skills; includes the ability to define problems, collect data, establish facts, draw valid conclusions, and make recommendations for change and improvement.
  • Positive attitude is a must!
  • Comprehensive knowledge of standard office practices, procedures, equipment, and techniques
  • College degree preferred, ideally with at least two years of experience with a nonprofit organization

Physical & Other Requirements

  • Must have valid Florida driver’s license, a safe driving record, and a dependable automobile
  • Willingness to travel and work outside of the office, including some nights and weekends, as necessary
  • Able to work in inclement weather (heat, cold, rain, etc.) when required (when safe to do so)
  • Position requires high mobility 
  • Ability to lift up to 50 pounds; able to work at a computer station for several hours per day
